Hours: 28 hours per week – Monday-Thursday 8:30am-2pm, Friday 8:30am-2:30pm except for the 3rd Monday of each month for Board Meeting (3:30pm-9pm)

Position Description

The Bartlett Public Library District is seeking qualified applicants for a part-time Business Office Generalist. The Business Office Generalist is responsible for the efficient and accurate management of the library’s financial and business operations. This position handles a variety of critical tasks, including payroll, accounts payable, accounts receivable, and records retention, ensuring compliance with all relevant policies, procedures, and regulations.

Essential Duties and Responsibilities

  • Prepare and ensure accuracy of monthly financial documents for the library’s accountant and monthly board packet.
  • Review and input invoices into accounting software and submit bill payments.
  • Validate and maintain vendor contract information and records, obtain required documents, and report performers to Illinois Department of Employment Security.
  • Follow positive pay procedures regarding the library’s banking accounts.
  • Collect, record, and deposit money for library banking accounts.
  • Process bi-weekly payroll, manage associated filings and maintain payroll records.
  • Assist Library Director with the annual audit.
  • Assist Library Director with the annual budgeting process.
  • Maintain library records by following retention procedures required by state statute.
  • Create and update administrative forms related to business functions of the library.
  • Attend monthly Board meetings.
  • Order office supplies for the library.
  • All other duties as assigned.

Qualifications

  • High school diploma or equivalent with a minimum of 1-3 years of specialized training and/or familiarity with library administrative procedures and governmental accounting; bachelor's degree in accounting or related field preferred.
  • Experience with accounting, bookkeeping, or office/business management.
  • Experience working for a non-profit organization or governmental agency.
  • Valid driver's license and proper vehicle insurance or ability to travel.
