BARTLETT PUBLIC LIBRARY DISTRICT
THE HUB POLICY AND GUIDELINES
The Bartlett Public Library District provides the use of The Hub for groups of sixteen to twenty as an additional service to Library users under policy established by the Board of Trustees.
- Permission to use The Hub does not constitute an endorsement of an event or the group’s policies or beliefs by the Bartlett Public Library District. Likewise, neither do any Bartlett Public Library District advertisements for meetings held at the Library imply BPLD endorsement of a group, its policies, or its beliefs.
- Events and groups using The Hub may not interfere with the regular operations of the Bartlett Public Library District. the right to stop events that are disruptive to Library operations.
- No fundraising or sales presentations are allowed.
- No fees may be charged for entrance or participation. Exceptions, approved in advance by the Library Director, may be made for non-profit educational institutions providing short-term classes, institutes, workshops, etc.
- Library personnel and patrons must always have access to The Hub and any material collection contained therein.
- The Bartlett Public Library District maintains the right to monitor all events held on the premises to ensure compliance with Library regulations.
- The Hub shall be used solely for programs of an educational, cultural, or civic nature or similar uses consistent with the Library’s mission. Meetings that are not of educational, cultural, or civic natures can be taken to the Library Board of Trustees for special approval. By way of example only, The Hub may not be used for social gatherings such as showers, birthday parties, dances, ceremonies, et cetera.
PERMISSIBLE USAGE
The Hub is a secondary meeting space for groups of sixteen to thirty and can only be reserved in-advance when the Meeting Room and Conference Rooms are already in-use. Walk-in reservations will not be accepted for The Hub.
PRIORITIES
Priority for use of the meeting room will be given in the following order:
1.a Library sponsored meetings or programs.
b. Library affiliated organizations or Library co-sponsored programs.
2. Meetings of official agencies, committees, and boards of local units of government.
3. Educational, cultural, civic, and public information events for non-profit organizations located in the Bartlett Public Library District.
HOURS
The Hub is available during normal Library hours.
SCHEDULING
Reservations must be approved by the Adult Services Manager and/or Library Director before meetings can be scheduled. Once approved, the Adult Services Manager and/or Library Director will be in contact to schedule your meeting.
- A patron may make a reservation in person, by telephone, or online.
- A patron may only have one reservation per month.
- Reservations for The Hub may be scheduled on a quarterly basis. The reservations may be made one month prior to the start of the quarter.
- The Hub may be reserved for up to four consecutive hours a day.
- The user should call the library in advance if unable to make their appointment. If the user does not call, the room will be held for ten minutes, after which the user will forfeit the full amount of their reserved time.
- If users of The Hub vacate the room for more than ten minutes the room will be considered open for general use.
- Groups are responsible for returning the room to the condition in which they found it.
REGULATIONS
- Occupancy limits based on The Hub’s size have been set by the Bartlett Fire Protection District.
- Individuals who are disorderly or who fail to comply with Library regulations will be asked to leave.
- Individuals using The Hub will be billed for any damages to furnishings and/or equipment and lose the subsequent right to book the room.
- Food is not allowed in The Hub. Covered drinks are allowed.
